From Signed Offer to Day One: Employee Onboarding Software

Employee onboarding software is worth buying only if it closes the gap between a signed offer and a new starter’s first day. Smartmates helps Australian businesses set up Zoho so documents, checklists, system access and the handover from hiring happen in one tracked process, instead of across inboxes, spreadsheets and someone’s memory.
When the Offer Is Signed and Then Everything Goes Quiet
You know the pattern if you have lived it. The offer comes back signed, the hiring manager moves on to the next role, and the new starter’s details sit in an email thread that three people half own. The contract needs countersigning, the tax and super forms are somewhere in a shared drive, nobody has asked IT for a laptop, and on the Monday morning your new hire is sitting at reception waiting for a login that does not exist yet. If a previous partner already set up Zoho for you, it may hold the candidate record and the employee record in two places that never talk, so someone retypes the same name, start date and bank details twice. So your team runs a manual backup alongside it, because nobody trusts the system.

What to Map Before You Choose Employee Onboarding Software
The quickest way to judge any onboarding setup is to write down every step between “offer accepted” and “first productive day”, then ask who owns each one today.
- The handover point. Decide the exact moment a candidate becomes a new starter, and what data moves across with them. If your hiring team and your HR team use different records, this is where details get lost or retyped.
- Document collection. List every document you need from the new starter and every document you send them. Note which ones need a signature, which ones contain sensitive personal details, and who is allowed to see them.
- Checklists by role, not one long list. A warehouse starter and a finance starter need different steps. A single generic checklist gets ignored because half of it never applies.
- System access requests. Email, file storage, your CRM, your accounting software and any line-of-business tools. Write down who grants each one and how much notice they need.
- Equipment and logistics. Laptop, phone, desk, keys, uniform, parking. These are the items most likely to be missing on day one because nobody was told.
- Reminders and escalation. What happens when a step is overdue? If the answer is “someone notices eventually”, the process depends on a person rather than a system.
- The manager’s first week. Onboarding does not end at the login screen. Agree what the manager is expected to do in week one, and make it visible.
- Reporting. Decide what you want to see at a glance: who is starting soon, what is outstanding for each person, and which steps run late most often.
If you cannot answer these questions on paper, no tool will answer them for you. The software should follow the process you agree, not invent one.
Running Onboarding Yourself or With a Zoho Consultant
Doing it yourself suits a small team with a simple, stable hiring process. A consultant earns their keep when onboarding touches several systems or an earlier setup needs rescuing.
| Situation | Set it up yourself | Use a Zoho consultant |
|---|---|---|
| A few hires a year, one role type | Usually fine with a shared checklist | Rarely needed |
| Several role types with different steps | Possible, but checklists drift over time | Role-based workflows designed once and maintained |
| Hiring and HR records live in separate places | Manual retyping, risk of errors | Handover mapped so data moves once |
| Access requests go to IT, finance and managers | Relies on people remembering to email | Tasks assigned and tracked automatically |
| A previous setup nobody trusts | Hard to tell what to keep or remove | Audit, clean up and rebuild what is broken |
How Smartmates Sets Up Employee Onboarding in Zoho
We start by fixing the process, then build the system around it. In a free Planning Session, a Project Manager and a senior Zoho engineer walk through your current path from signed offer to day one, including where it breaks. You then receive a written Project Plan Estimate with the recommended scope, phased steps with indicative hours and an honest cost estimate, so you know the time and cost before spending a cent. If you want to look at the product itself before we talk, Zoho’s People product page is the place to start. When the build begins, work only starts after you agree the written scope, and you get itemised weekly statements showing where the hours went. Our first top-up is $99/hr + GST, then $129/hr + GST, with a minimum of 10 consulting hours and no lock-in retainer. Smartmates is a Zoho Premium Partner, Zoho Partner of the Year for 2022, 2023, 2024 and 2025, and our team holds 60+ Zoho certifications. Every client is also covered by an Automatic NDA from first contact, which matters when the process handles new starters’ personal details.

Employee Onboarding Software FAQs
Where should onboarding start, at the offer or on day one?
It should start the moment the offer is accepted. Most of the work that makes day one go well, such as paperwork, access requests and equipment, has to happen before the new starter arrives. If your onboarding only begins on their first morning, those steps get rushed or missed.
We already have Zoho but onboarding still runs on email. Do we need new software?
Not necessarily. Often the setup you have is close, but the handover from hiring was never mapped and nobody owns the checklist. A review of what is already in place usually shows whether it needs reconfiguring, cleaning up or extending before you consider adding anything new.
What should we ask a consultant before they build our onboarding process?
Ask how they will map your current steps, who owns each one after go-live, how role-specific checklists will be maintained, and how sensitive documents will be handled. Ask for the scope and indicative hours in writing before any work starts, and how changes will be flagged.
