Zoho CRM is a comprehensive cloud-based software designed as a centralised hub for organising customer information, streamlining payments, and facilitating efficient communications. Zoho CRM also offers ever-evolving integrations with other third-party apps including Xero, which is already part of The US Tax Team’s accounting system.

The US TAX Team specialises in providing comprehensive tax services for individuals and businesses in the United States. They are particularly adept at addressing the unique tax needs of expatriates and those with international tax considerations. Their expertise includes individual tax returns, business tax returns, IRS representation, and tax planning.

The team’s experience and knowledge in U.S. tax laws enable them to offer tailored solutions to a diverse clientele. Founded by US tax experts in October 2023, the company is a New Zealand-based practice specialising in assisting US citizens, green card holders, and individuals with US ties in meeting their tax obligations. With over a decade of experience in New Zealand, The US Tax Team is widely recognized in the expat community and among professionals.

“We mainly need to use Zoho for three functions; a repository for our emails, task allocations for our staff, and reminders with due dates for important information. We also need to be able to prepare quotes with e-signature ability and invoices, which will be pushed through Xero by using Zoho.”

Their current system lacks integration capabilities with essential services like DocuSign and Xero, and doesn’t provide streamlined communication channels such as Outlook email integration. This inadequacy hinders their ability to effectively manage leads, convert them into accounts, and handle complex tax requirements for their diverse client base.

2. Custom Invoice Arrangement

A problem faced by the US Tax Team is integrating their CRM with Xero for efficient invoicing and client data management. The problem is multifaceted, involving data synchronisation between Zoho CRM and Xero, specifically regarding client information and invoice details. Additionally, the need to adapt the CRM to handle different payment terms and to ensure that invoices reflect these terms accurately in Xero presents a significant challenge. Our evaluation has focused on developing a robust and seamless integration solution that addresses these specific needs while ensuring data integrity and operational efficiency for the US Tax Team.

3. Evaluating the Most Appropriate E-Signature Tool

The key challenge lies in integrating a suitable E-Signature solution (either Zoho Sign or DocuSign) into the US Tax Team’s CRM system. This integration is critical to streamline their document signing and management process, which is currently fragmented and inefficient. Smartmates needs to evaluate the compatibility of both E-Signature tools with the existing CRM setup and address any technical or workflow-related challenges. The aim is to enable a seamless, secure, and user-friendly document signing process, enhancing the overall efficiency and client experience of the US Tax Team.

4. Ensuring Efficient Lead Capture and Processing

The embedded form on the US Tax Team’s website is saving enquiries as leads when the requirement is to save them as contacts and there is a lack of email notifications when enquiries are submitted through the form. There were also issues with reCAPTCHA integration indicating potential technical complexities in embedding the form seamlessly on the website. Addressing these challenges requires a focused approach to ensure that the form not only functions as intended but also integrates smoothly with the existing CRM system, enhancing lead and contact management efficiency.

Proposed Solution

Recognizing the unique requirements of the US Tax Team, Smartmates has undertaken meticulous planning and careful consideration to propose a solution that ensures a smooth rollout of their new Zoho ecosystem. Our focus has been on delivering a comprehensive, integrated system that aligns with their operational needs and future scalability objectives.

1. Zoho CRM Customization: 

Tailoring the CRM modules for effective management of leads, contacts, accounts, quotes, and invoices, ensuring these elements align with the team’s workflow.

2. Integration with Xero: 

Implementing a seamless connection between Zoho CRM and Xero for accurate invoice generation and synchronisation of financial data.

3. E-Signature Integration: 

Incorporating either DocuSign or Zoho Sign into the CRM system to facilitate secure and efficient document signing processes.

4. Zoho Forms Setup: 

Building and integrating a custom Zoho Form on the US Tax Team’s website. This form will capture client enquiries directly into the CRM, improving lead management and response times.

5. Email Integration: 

Integrating Zoho CRM with Outlook to streamline email communications and enhance client engagement.

6.Quality Assurance and Testing: 

Ensuring the integrity and functionality of the entire integrated system through comprehensive testing and quality control measures.

This holistic approach aims to optimise the US Tax Team’s operational efficiency, client management, and data processing capabilities.

Implementation

To address the US Tax Team’s Zoho project requirements, we carefully undertake each of the requirements, adopting an Agile methodology to capture sufficient information before any modification and implementation is undertaken for each of the project requirements.

1. Zoho CRM Customization: 

A major challenge was ensuring the CRM modules align with the team’s workflow. The implementation process involved extensive planning and collaboration with the US Tax Team to identify the specific needs of their leads, contacts, accounts, quotes, and invoices workflows.

2. Integration with Xero

We encountered a bottleneck regarding the synchronisation of invoices and financial data. We implemented a custom function to connect Zoho CRM with Xero, ensuring accurate invoice generation and data synchronisation.

3. E-Signature Integration: 

The main challenge was selecting the most suitable E-Signature tool (DocuSign or Zoho Sign) and integrating it seamlessly into the CRM system. This was crucial for secure and efficient document signing processes. We ended up using Docusign based on the US Tax Team’s feedback and  proceeded with creating custom document templates using CRM mail merge functionalities to retrieve important customer information into the templates.

4. Zoho Forms Setup: 

A key task was building a custom Zoho Form for the US Tax Team’s website to directly capture client enquiries into the CRM and preventing issues that occurred with their previous webform solution. This improved lead management and response times, addressing the challenge of efficiently managing webform submissions. We had to ensure that the form captures the relevant information that is required to allow the US Tax Team to start processing their leads and this includes adding automations to ensure any fresh enquiries are not missed.

5. Email Integration:

The goal of this requirement is to align the CRM data with email communications to enhance client engagement. We made use of the native integration between Zoho CRM and Outlook and conducted online training sessions to showcase the functionality of the integration.

6. Quality Assurance and Testing: 

Ensuring the functionality and integrity of the integrated system was a significant task, involving comprehensive testing and quality control measures as well as UATs to ensure the system is delivered according to the US Tax Team’s expectations.
